Fill in a rental application form online

A rental application form, called a tenancy application form in the UK, is what a landlord or letting agent asks you to fill in before offering you a home. It typically collects your identity, address history, employment and income, references and who will live there, plus your consent to checks such as credit and referencing.

Letting agents still send rental applications as PDFs, usually scanned, usually the same afternoon three other people are applying for the same flat. Printing, filling and re-scanning costs you an hour you may not have.

Filling it in, section by section

Applicant details: Typically your full legal name, date of birth, phone and email. Use the name on the ID you will show, so that it matches your checks.
Address history: Current and previous addresses with move-in and move-out dates, typically going back several years, and sometimes your current landlord’s contact details. Fill in each period so the dates run on without gaps.
Employment and income: Employer, job title, how long you have worked there and your income. Self-employed applicants are typically asked for a different kind of evidence, so check what the form or agent wants.
References: Usually a previous landlord and an employer, with contact details. Tell your referees before you submit, so they reply when the agent gets in touch.
Occupants and pets: List everyone who will live in the home and any pets. In England, under the Renters’ Rights Act, you can ask to keep a pet, and the landlord must consider the request and should give a reason if they refuse.
Guarantor: Some forms have a section for someone who will guarantee your rent. It typically asks for their details and income, and the guarantor may be asked to sign separately.
Right to rent (England only): In England you must prove your right to rent to the landlord. British and Irish citizens can use a passport, current or expired. Others can use a share code or original immigration documents, and GOV.UK says a landlord cannot reject you for giving an eligible document instead of a share code. It is not needed in Wales, Scotland or Northern Ireland.
Rent and move-in date: In England, landlords must state a specific rent and cannot accept or encourage offers above it. They also cannot take rent before the tenancy agreement is signed, and after signing they can ask for at most one month in advance.
Consent to checks and declaration: In the US, landlords often use a tenant screening report. The CFPB says this can include credit reports, rental and eviction history, employment verification and criminal history. If a report is used to turn you down, the landlord must name the company that made it, and you can ask for a free copy within 60 days.

Filling it in neatly

Match the printed text size — 10 or 11 point usually lines up with a form designed for handwriting.
Employment and reference sections repeat: fill the first block, then copy the sizing for the rest so it looks consistent.
Tick declarations with the tick tool rather than typing an x — it sits inside the box at any zoom.
Date it in the format the form asks for (DD/MM/YYYY in the UK, MM/DD/YYYY in the US).
Save flattened so the agent cannot accidentally alter your answers when they add their own notes.

Common mistakes

Leaving gaps or overlapping dates in your address history, which slows referencing while the agent asks for the missing months.
Naming a referee without warning them, so the agent’s call or email goes unanswered.
Leaving out an adult who will live there, or a pet, to make the application look simpler.
Signing the declaration without reading which checks it authorises.
In England, paying rent with the application, when the landlord cannot ask for or accept rent before the tenancy agreement is signed.
